Your sales manager pastes the customer list into ChatGPT. "Make this easier to read." They want a cleaner format, better organization, something presentable.
What they don't think about: that customer list now exists in OpenAI's systems. Under their terms of service. Potentially used in future model training if they're on a free or plus tier.
That customer list might be your most valuable data asset.
This happens constantly. Employees don't think of AI tools as data-sharing — they think of them like calculators or spell-checkers. They're not. Every prompt is data transmission.

The Samsung scenario: In 2023, Samsung engineers accidentally leaked proprietary semiconductor data by pasting it into ChatGPT three times. Sensitive chip schematics ended up in OpenAI's systems. Samsung banned AI tools internally.

- Move to business accounts. Business-tier AI tools (ChatGPT Team, Claude Business) offer better data protections and don't use your data for training. Cost: $20-$30/user/month.
- Use data classification. Label documents: Public, Internal, Confidential. AI tools shouldn't touch Confidential without explicit approval.
- Add this to offboarding. "Did you use AI tools with company data?" When employees leave, this is part of the exit conversation.
When to hire help
- You're in healthcare or finance (HIPAA, PCI-DSS, GLBA regulated) — get a compliance consultant. The legal exposure is real.
- You've had a data incident — incident response firm, immediately. Time matters.
- You have 25+ employees and can't enforce policy manually — a managed IT provider can deploy technical controls (filtering, DLP) to enforce policy.
The single most effective fix is awareness. Most data leaks through AI tools happen because employees don't realize they're sharing anything sensitive. A 20-minute conversation can prevent months of legal headache.
Start with the customer list scenario. Ask your team: "If you pasted our customer list into an external tool, who would own that data?" Most people don't know. Tell them.
